L-11: Techniques for Managing WebCT: More Than They CEAM

Detailed Description:To better enable WebCT administration and management at the University of Western Sydney, a system named Centralized E-Learning Administration and Management (CEAM), was designed to enable the University to manage the start and end of teaching period processes for online units and courses, as well as day-to-day operations including site management, student management and reporting. This presentation will discuss the policy, procedures and workflows in managing WebCT, and demonstrate how CEAM implements them.

Abstract Text:The University of Western Sydney (UWS) uses WebCT Campus Edition to enhance the learning experience of students in undergraduate, postgraduate, on-campus and off-campus units and courses. Over the course of a year, over 100,000 WebCT seats are used and some 1500 WebCT sites are created and archived. The management of the WebCT sites and users is compounded by the University having 21 teaching periods, many of which overlap, and 25 defined teaching locations. The scale of WebCT's use at UWS, and the complexity of the academic year present significant challenges for effective management of WebCT. To better enable WebCT administration and management, a system was designed to optimize WebCT's own administration and API features, and map them against the centralized work flows and procedures of the support unit managing WebCT. This system, named Centralized E-Learning Administration and Management (CEAM), enables the University to manage the start and end of teaching period processes for current and future online units and courses, as well as day-to-day operations. CEAM consists of several components, primarily: site management, student management and reporting. Site management follows the site life-cycle: academic request, approval, creation, maintenance and archiving. Student management allows flexible mapping of unit and course enrollments in specified teaching periods and locations to WebCT sites. Students can also be added to WebCT sites according to broad groups, such as postgraduate or international. CEAM integrates with the UWS student information system to obtain information on student enrollments, and also teaching period and location information. General reporting, querying and problem tracking, are facilitated within CEAM. This presentation will discuss the policy, procedures and workflows in WebCT's management and demonstrate how CEAM implements them to enable effective and quality assured management of WebCT at UWS.
