G-12: Making the Upgrade to WebCT Campus Edition 6 at Rowan University
Detailed Description:Rowan University’s plan to upgrade from WebCT Campus Edition 4 to WebCT Campus Edition 6 began in June 2005. The upgrade coincided with the University’s SIS upgrade to Banner. This session will describe the University’s detailed planning process for upgrading to WebCT Campus Edition 6 with a very small staff. Come learn how the University’s upgrade was initiated, funded, developed, communicated, and tested for a September 2006 deployment.

Abstract Text:Rowan University's plan to upgrade to WebCT CE6 began in June 2005. The upgrade would coincide with the University's plan to move all SIS to Banner in March 2006. Rowan University has one WebCT administrator responsible for WebCT administrator, faculty training and student and faculty support and one system administrator responsible for the back end programming.

The first step was to assemble the WebCT Upgrade team. This team consisted of the current WebCT administrator and systems administrator, the future WebCT system administrator and an Oracle programmer. The upgrade needed approval and funding which was given by the Associate Provost for Instructional Resources. Rowan funds WebCT through the Student Technology Fee ($140/semester). A meeting with WebCT ensured that the specifications for the new server would be sufficient to house WebCT CE6. The Oracle server needed would already be in place because of the upgrade to Banner. Space was also determined to be sufficient for WebCT usage.

The new server was purchased and installed in January, 2006. The WebCT administrator enrolled in three WebCT online workshops including Administering WebCT CE6, Designing in CE6 and Teaching in CE6 . The process of converting CE4 courses to CE6 courses included converting current course numbers to Banner course numbers and IDs and assuring that all courses were ready to be converted. A WebCT consultant was used to aid in this conversion.

Finally, an online course for faculty was developed for training purposes. With one trainer and 200 faculty, the need for an online trainng became very important. Another web based training for students will be developed during the Summer 2006. Support for both Faculty and students will be handled by the WebCT administrator via web based forms and email replies. This has worked very well in the past and will continue to be used for CE6.
